Reporting to the QMS Manager, this role is responsible for migrating legacy SOPs and work instructions into standardized corporate templates. Using advanced Microsoft Word skills and thorough knowledge of GMP/GdP requirements, you will ensure documentation is consistent, professional, compliant, and audit-ready.

Main Responsibilities

  • Template Integration: Execute the migration of legacy SOPs, Work Instructions, and Forms into the new Corporate Identity (CI) templates.
  • Advanced Formatting: Apply and manage Styles (Heading 1-4, Body Text, Bullets) to ensure document stability and automated Table of Contents generation.
  • Compliance Review: Ensure all documents adhere to Good Documentation Practices (GDP), including correct date formats, versioning, and signature blocks.
  • Technical Troubleshooting: Fix corrupted formatting, "broken" numbering lists, and layout inconsistencies in complex documents.
  • Quality Gatekeeping: Perform final editorial passes for grammar, syntax, and consistency across the entire QMS library.

Skills and Qualifications

  • Microsoft Word Power User: Mastery of Section Breaks, Cross-referencing, Field Codes, and Multilevel List nesting.
  • Regulated Industry Expertise: Preferred experience in GMP environments (Pharmaceutical or Medical Device).
  • Detail Obsession: Ability to identify a single 11pt font character in a 12pt document.
  • Project Management: Proven ability to track progress across hundreds of files using a master tracker.
  • Portfolio/Demonstrated Success: Proven track record of managing large-scale document migration or template alignment projects.
  • Self-Governance: Ability to work independently and manage project timelines for high-volume document queues.
  • Bachelor’s Degree in English, Technical Writing, Communications, Business Administration, or a related field. Equivalent professional experience in document control will be considered.
